Who controls your personal data
QuantiHouseTech acts as the controller for personal data collected through this website, the contact flow, the booking flow, and the chat assistant.
You can contact us at support@quantihousetech.com or at Limassol Bertolnt Brecht 7, 3048, Cyprus regarding privacy, data protection, or data subject requests.
Personal data we collect
- Contact and business details that you provide, such as your name, email address, phone number, company name, role title, and message content.
- Booking and consultation data, including selected service, invite details, chosen slot, booking status, customer name, customer email, and meeting or invoice links where applicable.
- Lead and website request data, including page URL, voluntary business context, and related request metadata.
- Chat data, including chat session identifiers, messages you send, assistant responses, and limited AI-run metadata such as token counts and short input or output previews.
- Payment and order data needed for paid diagnostics, including Stripe checkout session identifiers, payment status, invoice links, and order references. We do not store full payment card numbers.
- Security and technical data such as hashed IP-derived identifiers, visitor identifiers, user agent data, and rate-limiting records.
- Browser storage data used to keep the site functional, including a persistent visitor ID in local storage and chat session state in session storage.
How we obtain data
Most personal data comes directly from you when you submit the contact form, request a discovery call, choose a booking slot, pay for a diagnostic, or use the chat assistant.
We also receive limited technical and transaction data from your browser, our infrastructure, and service providers such as Stripe or AI-processing providers when those services are used.
Why we process personal data and our legal bases
- To respond to your inquiry, schedule calls, prepare proposals, and take pre-contractual steps at your request.
- To provide booked services, paid diagnostics, booking confirmations, invoices, and related support communications.
- To secure and operate the website, prevent abuse, enforce rate limits, maintain audit trails, and improve service reliability under our legitimate interests.
- To comply with legal, accounting, tax, and regulatory obligations where applicable.
- Where consent is required by law, to rely on that consent for the relevant processing activity. You may withdraw consent at any time without affecting prior lawful processing.
Important
We do not use the website chat to make solely automated decisions that produce legal or similarly significant effects about you.
International data transfers
Some providers we use may process data outside Cyprus or the European Economic Area. Where GDPR applies and a transfer takes place, we use an appropriate legal transfer mechanism, such as an adequacy decision, contractual safeguards, or another lawful basis recognized under applicable law.
How long we keep data
We retain personal data for no longer than necessary for the purpose for which it was collected, taking into account legal, accounting, dispute, and security needs.
- Contact and lead records: typically up to 24 months after the last meaningful interaction, unless a longer period is needed for a live business opportunity or legal reason.
- Chat transcripts and chat usage records: typically up to 12 months, subject to abuse-prevention, security, and service-improvement needs.
- Booking, consultation, and operational service records: for the duration of the engagement and a reasonable follow-up period thereafter.
- Payment, order, and invoice records: as long as reasonably required for accounting, tax, and evidentiary obligations, which may be up to 7 years.
- Browser-stored chat state remains under your control and can usually be cleared directly in your browser.
Your rights
Where GDPR or similar laws apply, you may have the right to request access, rectification, erasure, restriction, objection, portability, and withdrawal of consent where consent is the basis for processing.
You may also lodge a complaint with the competent supervisory authority. For Cyprus, the current supervisory authority is Office of the Commissioner for Personal Data Protection, Kypranoros 15, 1061 Nicosia, Cyprus; P.O. Box 23378, 1682 Nicosia, Cyprus; commissioner@dataprotection.gov.cy; +357 22 818456.
Security
We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, or alteration. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
Children and sensitive data
This website is intended for business users and is not directed to children. Please do not submit special category data, government IDs, payment card details, credentials, or other unnecessary sensitive information through forms or the chat assistant.
Changes to this policy
We may update this Privacy Policy from time to time to reflect operational, legal, or regulatory changes. The updated version becomes effective when posted on this page unless a different effective date is stated.
